Hiring someone to build a CRM student management system for a small company. Needs to include the following requirements: Student Profile - Family account – main account as family with children attached to family profile (parents to be invoiced for accounts) - Simple view – all relevant student information to be viewed on profile, e.g. last note, student timetable, relevant important health information, photograph of student, contact details (address, email, phone – need to be able to add two parents if required) - Ability to mark student attendance - Send and receive emails – to students and/or parents profile - Add contact notes – ability to view on each Student profile - Assessment records – with Teacher accessibility - Search engine – need to able to search the whole database for students/prospective clients in one simple search field accessible from User dashboard - Class schedule - view on student profile and link to calendar view for each student - Account details on profile (two-way integration with accounting database (Xero) for up to date account information) - Ability to add custom fields as necessary Timetable - Calendar view of class timetable - Ability to enrol students into scheduled classes/1-on-1 sessions - User friendly - Ability to send timetable to Students/Parents/Teachers - Easy to read - Reports – ability to be able to pull reports for any scheduled classes/1-on-1 session - Attendance – ability to view a list of students who attended each class once the attendance has been marked by Teacher (class history to be kept in database for view at any time) - Maximum number of students in a group – ability to be to set a limit to the class sizes Invoicing - Ability to invoice Family Account or Individual Student Account - Ability to select package or create 1 off invoice - Ability to save items/descriptions of line items for ease of invoice creation - Two-way integration with Xero (accounting) - Ability to report - Ability to quote students (preparation of Draft invoices) Enquiry/Sales Features - Ability to set follows ups for leads (be able to schedule dates and times for call back if necessary) - Profiles for leads with dashboard view of current information i.e. contact info (email and phone number), contact notes - Quotes – ability to send draft invoice if required - Reporting – ability to pull a report detailing the last contact note for each Lead (date, time, info from last note) - Unlimited profiles – any number of profiles without extra charge - Merge documents – ability to access templates to send information to leads - Contact notes – ability to make contact notes for each lead as necessary – the notes need to be able to be viewed on the lead’s profile - Ability to add new events/meetings (set dates/times of event or meeting and be able to email relevant invite to invitees directly from CRM) - Ability to add custom fields Teacher Profile - Dashboard profile with relevant information (name, address, phone) - Ability to view timetable on dashboard profile - View Profile on dashboard - Ability to add custom fields - Allow Teacher access to assessment information - Allow Teacher access to mark attendance - Limit Teacher access to student information Other Requirements - Dashboard customisation for each User (Parents/Students/Administration/Teachers) - SMS feature – ability to send SMS to all contacts directly from PC - Multi-campus – ability to add campuses as necessary - Multi-log-in – unlimited number of Users - Events on Calendar (ability to sync with current Google Calendar) - Ability to add new events/meetings (set dates/times of event or meeting and be able to email relevant invite to invitees directly from CRM) - Categories – ability to group all contacts into relevant categories for reporting and/or contact purposes
