Would you be interested in quoting for a web site development project We have graphic designers etc available but it is the back end web site functionality skills we are lacking. Can you have a look at the attached initial brief and let me know your thoughts. Before you quote please bear in mind the following. We are a National Charity and association with such a site and our organisation would be of some value to you. We have a well known personality on stand by to tweet their 1.5 million followers about this site ( subject to them seeing it beforehand) and asking them to have a look. We have other people who have agreed the same and we envisage that about 5 Million followers in total on the initial first hit would be made aware of this site. This would therefore by way of association benefit the web site developer. We are prepared to make agreed extra payments to the selected development company upon receipt of donations. The project will go to the developer who presents the most imaginative quote including various payment options perhaps base on some sort of larger payment by results or something similar. The site will develop greatly as it expands and funds arrive so there is great potential for extra work for the initial developer. Website Activities and Objectives We would like the general user to engage in the following activities on our website. Items are listed in order of importance: • Create a free user account • Create (free) online memorial (‘tribute’) posts dedicated to the memory of a loved one – these will include text, imagery, music and video • Set privacy settings for each tribute a user creates • Search for tributes within a tribute gallery • Comment on other tribute pages (subject to the creator’s selected privacy settings) • Follow our social media channels and ‘share’ tribute posts • Donate to the charity This ties in with our major website objectives: • Create awareness about the charity’s cause • Generate donations • Build an online community • Advertise uniqueness of organisation to partners, volunteers and the media Website Structure Sitemap TBC The website will initially contain only a few main pages (accessible from front-end): • Homepage • About • Create a Tribute • Search (View) Tributes • Make a Donation • Sign-in/Register • Other pages will include Contact Us, Terms/Privacy (Legals etc.). The website will also have a user area where account holders can login in order to create and amend tributes, change tribute post privacy settings and receive notifications regarding their tributes. Front End Functionality Common Features The website will include a number of easy-to-use features that allow users to create personalised tributes (or messages) to their loved ones. From the homepage, users will be presented with a call-to-action to create a tribute, search for a tribute, manage tributes (sign in to their account) or make a donation. Create a tribute Users will be required to register and sign in to their free account in order to create a tribute (perhaps prompted by an on-screen pop-up). Once signed in, users will be redirected to the 'create a tribute' page, where they will complete a step-by-step 'form' in which the information for the tribute will be captured. The 'form' will include a mixture of fields such as text (e.g. name), date (date of birth/death), image upload, as well as sound and video upload. The users should have the option to 'save' their entry (in order to return to it and finish editing) before publishing. If possible, there should be a facility to check spelling and preview the entry before publishing. Once the entry is complete, the user should be presented with privacy settings in order to control whether the tribute is accessible publicly or privately (only accessible using a password) or just to them. There should also be an option to set up an alert/reminder to notify the user before and/or on the anniversary of their tribute's death. Initially, there will be four different tribute templates depending on the force that person served in (Army, Navy, Air Force or Other) – more in 'Back-end Functionality'. Once the tribute has been created, a confirmation page will be displayed, where an option to donate is presented. Users may then select to 'Donate Later' or proceed to a payment page. View a tribute The website will incorporate a feature to enable users to search for a tribute (by fields such as: Name, Force (and Regiment), Date of Death, etc.) and filter results accordingly. All tributes will appear in search results listings (regardless of privacy settings) but the tribute page will only accessible subject to predefined privacy settings. A feature for others to 'Amend This Tribute' should be available (providing users are signed into an account). This will involve sending a request to that tribute's creator in order to amend content (subject to the creator's approval) - a little like multiple authors of a blog having various permissions. There should also be an option to 'Report a Tribute' (notifying site admin) where a form is presented asking for further information on a problem/issue. This form (alert) will be send to Site Admin notifying them of an issue. More in 'Back-end Functionality'. Amend a tribute/ Manage tributes Users will be permitted to create more than one tribute (one per individual) and make amends once published. When signed into their account, a dashboard will be displayed showing a list of tributes created and from there, the user may edit each tribute. Make a Donation A dedicated page containing a payment function enabling users to donate to The National Military Cemetery in a number of ways (Card, Paypal, Direct Debit etc.). Back End Functionality The website requires a non-technical user friendly Content Management System (CMS), that enables site administrators to add/edit site content and, importantly, preview content changes before they are published. Site admin should also have the facility to access tributes and amend content (preferably with an option to notify the tribute author when a change is made). ALL newly created tributes will require authorisation from a site administrator prior to being published. User Account Interface/Dashboard When signed in, users will be directed to a dashboard where they are able to access and amend tributes they have created/have permissions to edit; this will include changing privacy settings. Users should also be able to set-up/amend notification settings in relation to their tribute(s) - i.e. change the date when they wish to receive a reminder about an upcoming anniversary. Reminders should be sent via a notification/message on the site and users should receive an email making them aware that they have received a notification. Message/Notification Facility The site should include the facility to send and receive messages/alerts regarding issues where the user has contacted admin (e.g. when reporting a tribute). Issues should be logged within the system so all site admin can access, follow-up and amend the 'status' of an issue from within the CMS; e.g. an admin user may change the status of an issue from 'processing' to 'in progress' or 'resolved'. This will enable all admin to ensure that all issues are being dealt with. Users should receive an email when they have been sent a notification/message. Users should also receive a notification when a tribute has been amended and/or published. Again, an email should also be sent making the user aware that they have received a notification/message. Tribute Database (to enable search & reports) Each tribute created should be stored within a database/table (with defined fields), which is used when a user searches for a tribute. This should also allow site admin to produce reports for analytic purposes. For example, to establish how many tributes have been created, what force they served in, etc. etc.) Search Engine Optimisation (SEO) The website should be accessible to search engines and coded with good on-page search engine optimisation. Additional Requirements The website should incorporate the relevant code in order to co-operate with website analytics. The analytics platform used will be Google Analytics. Social media sites will be set up to support the website, the website should include links to these on the homepage. In addition, once a user has created a tribute and it has been approved, there should be the facility to 'share' that tribute on social media. The website should be responsive in order to facilitate the growth of mobile traffic/usage.
