A tuition company providing classes in English, Maths and Sciences twice a week. Either on Sat/Sun or Mon/Tues. We have separate classes for are AM/PM. We have several classes that are age specific.
Currently if a student would like to register and enroll, this is process:
Inquiry Stage
-Parent calls and asks for details, we write down contact details on paper
Registration Stage
-Parent arrives at the centre and completes paper registration form. Student starts immediately, or delays for the next week or the week after. Parent pays is this is recorded in the receipt book with the dates they have paid for. A copy is given to the parent
-Relevant Student details are copied to the payment register spreadsheet along with the dates they have paid for
-Student name is copied to the printable attendance register spreadsheet for their class.
Payment Process - Students pay for 4 weeks in advance. Parents that find this difficult pay weekly or 2 weeks in advance
Stage 1: Sending Payment Reminders
-Payment Register spreadsheet highlights in red the payments that are due 7 days before
-All payments that are due are manually copied into a printable payment register with the following details:
-student name, parent phone number, payment amount due, date due from and until, notes.
Admin calls each parent and reminds them about payment and any other important information
Stage 2: Student Pays
Admin looks for their name in the printable payment register, if they are a new student registered that day then their name is added to the printable payment register and added to the main payment register later.
-The amount is ticked or modified for certain reason such as absence or holidays.
-The date of the payment is ticked
-Any notes are added
-Admin writes a receipt with the student's name, current date, 'from' and 'to' dates for the payment, next payment date and the payment amount. Student/parent receives this
Stage 3 - Updating the payment Register
-Admin must update the payment register by manually copying the next payment cell and pasting into start date. Then working out 4 weeks from the start date and entering this into the end date. Then entering the next payment date by adding 7 days to the end date. T
-The payment amount is added with any notes
-The 'Paid' column manually ticked to show the student has paid
Recording Attendance - We must keep track of the number of students present in each class. We do this in the following way
-Admin copies the names of students from the payment register to a printable register
-The register is for 4 weeks and every 4 weeks the dates are updated.
-Admin print off the register and places them in corresponding classes.
-When the student enters, the teacher ticks their name under the current date.
We want to automate as many things as possible. When a student registers the data should go to a master file. From here three registers should be made:
1-Payment Register
2-Grade Register - Shows their grades for each subject
2-Attendance Register Printable
